Receptionist/Administrative Assistant – Maternity Leave Position

Starting March 2022

Kelowna Denture Clinic is seeking an experienced Dental Office Receptionist to fill a full-time (5 days per week) Maternity Leave position. Reporting to the Owner and Denturist, the Dental Office Receptionist is responsible for the day-to-day movement of patients through our clinic in an efficient, courteous, and professional manner and enhancing their overall experience with Kelowna Denture Clinic. This position is an integral part of an interdisciplinary team working with patients, dental suppliers, lab technicians, denturists, dentists, and dental specialists.

Responsibilities:

Reception

  • Coordinate the daily flow of patients
  • Ensure accurate and complete information is obtained from patients through completion of patient information forms and insurance forms, as needed
  • Respond to questions and concerns, and provide accurate information to patients and their representatives
  • Reply to inquiries in a competent and timely fashion
  • Answer all incoming calls and walk-in traffic and direct as appropriate

Administration

  • Ensure the efficient operation of the office
  • Maintain patient database and appointment management system
  • Manage schedule for denturists and lab staff
  • Conduct appointment confirmation activities with patients
  • Ensure all requested and required payments and insurance pre-authorizations are completed and notes on each transaction are added into the patient management database system
  • Provide word processing/typing services for assigned personnel
  • Communicate with team members and management to escalate concerns or problems to appropriate supervisor, in a timely manner
  • Deliveries to Dental Offices (VALID DRIVERS LICENCE REQUIRED)
  • Educating patients regarding Treatment Plans

Financial

  • Show accountability for defined quality measurements including patient encounters, finished cases, and confirmed recall appointments
  • Coordinate efficient functioning of office resources and equipment, including maintenance, troubleshooting, and resolving problems
  • Post invoices and assist with month end, quarter end, and year end reporting as required

Other

  • Work collaboratively and effectively with all team members to ensure positive patient experiences
  • Contribute to problem resolution, modification of processes, and special projects and/or program initiatives
  • Create standard or specialized information packages for patients, dentists, and specialists in support of knowledge transfer activities or clinic initiatives
  • Maintain cleanliness of reception areas and sterilization of patient operatories

Qualifications:

  • Positive attitude and ability to work as a team player
  • 2 – 3 years working in a busy office environment
  • Knowledge of general office practices, procedures, and standards
  • Secondary education plus two years of relevant experience, or post-secondary Diploma plus relevant education and experience
  • Good customer service and interpersonal skills
  • Strong Microsoft Office computer skills
  • Strong communication skills, both oral and written
  • Excellent organizational skills and strong attention to detail and accuracy
  • Ability to handle sensitive situations with tact while respecting patient confidentiality
  • Ability to multi-task, work in a fast-paced environment, and work independently as needed
  • Ability to use good judgment in assessing difficult situations
  • Database management experience an asset
  • Education and experience with medical terminology preferred
  • Experience working in a health care environment preferred
  • Completion of recognized dental office administration program at the diploma level or equivalent preferred
